To monitor activities on your AOBox folders you can:
Get notification emails of content changes on your folders
When you give guests upload rights or write-access to a shared folder via AOBox, the content they update will be seen as updated (and owned) by you in Google Drive. You can choose to receive a notification email with a daily summary of the activity on your shared folder.
The notification email summarises when your guests:
- upload a new file
- upload a new version of existing files
- delete files
Notes:
– Upload notifications are disabled by default. You can activate them from the shared folder view.
– Notifications are triggered by uploads from guests.
– You will receive one notification email per day, summarising all upload activity on the shared folder and its subfolders.
Activate notification emails
1. On the AOBox Share page, select a shared folder.
2. Open the More actions menu and select Activate notifications.
3. In the Enable notifications pop-up press OK. A message appears indicating notifications for the folder have been enabled.
You will receive the notification email the next day. The email will include the name of the folder and the list of files that have been uploaded. You can open the folder in AOBox by pressing the Go to folder button.
Deactivate notification emails
1. Select the folder for which you want to deactivate notifications and press:
- the Disable notifications button
- the More actions menu and select Deactivate notifications
2. In the Disable notifications pop-up press OK. A message appears indicating notifications for the folder have been disabled.
View which files and folders have recent uploads while working in AOBox
Temporary visual signals appear to indicate that files have been uploaded to AOBox.
- A message appears indicating content has recently been added to your AOBox shared folders since your last visit.
- Red icons appear on shared folders and files:
- On shared folders and subfolders: a red dot appears next to the folder name, to indicate new items have been uploaded on that folder.
- On files: a red New icon appears next to the file name to indicate the file has recently been uploaded.
- On shared folders and subfolders: a red dot appears next to the folder name, to indicate new items have been uploaded on that folder.
Important: The red icons and message disappear once you follow the folder structure and open the folder containing the recently uploaded files.
Export a list of all folder activities
You can export a list of activities for each folder you share. This allows you to track the activities of guests and also actions triggered by AOBox such as sharing expirations in your shared folders.
1. To export folder activities:
- From all your folders: on the AOBox Share page, press the Activity button. A message opens indicating that all your folder activities will be exported.
- From a single shared folder: on the More actions menu select Activity. A message appears indicating that you receive an email notification.
2. Go to your email inbox and open the email.
Note: If you exported all your folder activities from the AOBox share page, you receive one email per folder.
3. Follow the link to the activity Google sheet.

The activity Google sheet records details when guests:
- access the folder
- download files
- upload files
- try to upload files without success
It records details when you (the owner):
- share the folder via AOBox
- invite users to a folder
- change the role of a user
- remove a user from a folder
- set or cancel a sharing expiration on a folder or a guest
It also records details when the sharing expiration on a folder or guest is reached.
Note: Some columns in the Google sheet (such as OwnerID, FileName, FileMimeType, FileSize) are empty for actions carried out before the AOBox release of June 2018.
