You can share a folder via the AOBox interface or by opening AOBox directly from Google Drive.

Important: AODocs folders
You must be the owner of a folder to share it via AOBox. This means you can't share AODocs folders via AOBox.
Important: Shared drives
You must be the Manager of a shared drive to share it via AOBox. Although shared drives can have several Managers, only one Manager of a given shared drive can be an AOBox owner at a time.
Notes:
– When you share a folder, any subfolders that you own will also be accessible to your guests.
– If you share a subfolder of a shared folder, your guests can access the entire shared folder structure, up to the parent shared folder.
Share your shared drive folders via the AOBox interface
From the AOBox Share homepage you can use the Add new button to:
- share an entire shared drive:
- press Add new > Shared drive on the AOBox home page
- choose a folder in your shared drive to share
- select the option of sharing your entire shared drive
- guests will have access to the entire shared drive
- share a folder in shared drive:
- press Add new > Shared drive on the AOBox home page
- choose a folder in your shared drive to share
- don't select the option of sharing your entire shared drive
- guests will have access to the folder and its subfolders
- share a subfolder in your shared folder or shared drive with new guests:
- press Add new > Shared drive on the AOBox home page
- choose the folder in your shared drive to share
- you don't have the option of sharing the entire shared drive if the shared drive is already shared
- your new guests will have access to the folder and any of its subfolders
Notes: AOBox doesn't manage permissions on subfolders within shared folders or shared shared drives.
– You can invite new users to folders or entire shared drives that you have already shared. Learn more: Invite users to access your shared folders.
– To share subfolders (of folders or entire shared drives that you have already shared) with different users, you need to use the Add new button.
2. Press the Home button, then press the Add new button in the top right of the home screen and select shared drive.
3. In the Select a folder pop-up, highlight the folder you want to share.
Notes:
– The Select a folder pop-up displays the root of all the shared drives you are Manager of. Any shared drives you have access to without being Manager aren't displayed.
– If you want to share an entire shared drive, you must first select a subfolder in your shared drive.
– In the Select a folder pop-up there is currently no search field and grid mode is not available.
4. Press Select.
5. If the shared drive folder is already shared by another shared drive Manager, a message appears indicating that you can't share the folder. Only one Manager of a given shared drive can be an AOBox owner at a time. There are two options:
- the current owner remains owner; you can provide the current owner with a list of guests to invite
- the current owner removes this folder from their list of shared folders in AOBox; you can then become owner
6. If the folder in your shared drive isn't already shared by another shared drive manager, a message appears with the option to share the entire shared drive.
7. If the shared drive folder you selected isn’t shared with anyone yet via AOBox, the Add users pop-up opens. You can enter the email addresses of the users you want to invite to your folder. Read more about how to add users.
8. If your shared drive folder is already shared with users via AOBox, you can manage their access in the Manage users pop-up. You can add users, remove users or change the access permissions of existing collaborators on the folder. Read more about how to manage users.
Note: If your guests are logged into AOBox, they will be able to see the newly shared folder immediately in AOBox Explore. They don't have to open the new folder via the email they receive.
9. When you close the pop-up, check the content that can be viewed by your guests.
Important: Guests can view Google file formats such as Google Docs, Sheets, Slides and Drawings. Google files are automatically converted to the following formats when downloaded:
– Microsoft Word .docx for Google Docs
– Microsoft Excel .xlsx for Google Sheets
– Microsoft PowerPoint .pptx for Google Slides
– SVG file for Google Drawings
Note: Other Google file formats such as Google Forms, Google Apps Script, and Google My Maps are not supported and are not displayed to guests in AOBox.
Share your shared drive folders via AOBox directly from Google Drive
From Google Drive you can:
- share a new shared drive folder - guests will have access to the folder and its subfolders
Note: After sharing a shared drive folder, you can choose to share the entire shared drive.
- restrict access for certain guests to a subfolder of a folder you have already shared with other guests - your new guests will have access to the subfolder you share and its subfolders, but not the parent folder structure
1. Connect to Google Drive and browse to the folder you want to share.
Note: If you want to share an entire shared drive, you must first select a subfolder in your shared drive.
2. Right-click the folder in Google Drive. Select Open with in the menu and then AOBox.
You are redirected to the AOBox interface at the level of your shared folder.
Note: If this is the first time you're using AOBox, you first need to log in to AOBox share. The Open with > AOBox option will then be available from subfolders in your shared drives in Google Drive.
